Acceptable Use Policy

This Acceptable Use Policy sets out how Schoolzine products and services may and may not be used. It forms part of our Terms and Conditions and applies to every product, module and feature we provide.

It applies to:

Customers — schools, colleges, dioceses, departments, organisations and other account owners;
Users — staff and others holding a Schoolzine login under a customer’s account;
End users — parents, guardians, students, members and other people who interact with content delivered through our products.

1. General principles

You may use our products only for lawful purposes, in accordance with your agreement with us, and in a way that does not harm us, other customers, or any member of a school or organisation community.

You are responsible for activity carried out under your account and by your users, including where an account has been shared or used by someone you did not authorise.

2. Prohibited use

You must not, and must not permit any user to:

use the products for any unlawful, fraudulent, deceptive or abusive purpose;
breach any applicable law, including privacy, copyright, spam, child protection, discrimination or defamation law;
infringe the intellectual property, privacy or other rights of any person;
impersonate another person or organisation, or misrepresent your affiliation with one;
access, or attempt to access, any account, data or system you are not authorised to access;
probe, scan, penetration-test or otherwise test the vulnerability of our systems without our prior written consent;
circumvent or attempt to circumvent authentication, access controls, usage limits or security measures;
introduce malware, viruses, or any code intended to disrupt, damage or gain unauthorised access to a system;
interfere with or place an unreasonable load on our infrastructure, or disrupt any other customer’s use of the products;
scrape, harvest, crawl or bulk-extract data from the products by automated means, except through interfaces we provide for that purpose;
resell, sublicense or make the products available to a third party except as permitted in your agreement with us;
reverse engineer, decompile or attempt to derive the source code of any part of the products, except to the extent this restriction cannot lawfully be excluded.

3. Content standards

You must not upload, publish, send or distribute content through our products that:

is offensive, threatening, abusive, harassing, discriminatory, exploitative or defamatory;
promotes violence, self-harm, hatred or discrimination against any person or group;
is sexually explicit, or sexualises any person under 18;
depicts or promotes the abuse, exploitation or endangerment of children;
is misleading, deceptive or knowingly false;
infringes copyright or other intellectual property rights;
contains personal information you are not authorised to publish or distribute;
you do not hold the necessary consents, permissions or parental authorisations to use.

Images of children. You are responsible for holding the consents required for any image of a student or child that you upload, publish or distribute through our products, and for compliance with your own photography, consent and child-safety policies. Where you use Image Guardian or another content-safety module, it assists but does not replace those obligations.

4. Communications, email and SMS

Our products are used to send newsletters, notifications, email and SMS to school and organisation communities. When you use them:

send only to recipients who have consented to receive communications from you, or with whom you have the relationship required under applicable law;
include accurate sender identification, and a functional unsubscribe facility where one is required;
honour unsubscribe and opt-out requests promptly;
do not send unsolicited commercial electronic messages, in breach of the Spam Act 2003 (Cth) or, in New Zealand, the Unsolicited Electronic Messages Act 2007;
do not use our products to send content unrelated to the purposes of your school or organisation;
do not upload purchased, rented, scraped or otherwise third-party-sourced contact lists.

Fair use. Our email fair use allowance is 50,000 emails per month. We will contact you before applying any restriction where your usage materially exceeds this.

5. Account security

Each user must have their own account. Accounts must not be shared or transferred.
Keep credentials confidential, and unique to Schoolzine.
Enable multi-factor authentication or single sign-on where available.
Ensure that users granted administrative privileges are authorised to hold them, and remove access promptly when a person changes role or leaves.
Notify us immediately at support@schoolzine.com of any suspected compromise or unauthorised use of an account.

6. AI-assisted features

Where you enable a module that uses AI-assisted features:

submit only data you are lawfully entitled to submit, and only within the stated purpose of that module;
do not attempt to use AI-assisted features to identify individuals, infer characteristics about individuals, or for any purpose other than the module’s stated function;
treat outputs as assistive only — they are probabilistic, may be incorrect, and must not be the sole basis for a decision affecting a student, staff member or community member;
ensure you have made the disclosures and obtained the consents your own privacy obligations require.

Clause 7 of our Terms and Conditions sets out how we process data through AI services.

7. Third-party integrations

Where you connect a third-party service to our products, you are responsible for ensuring you are authorised to share data with that service, and for the third party’s handling of that data. We are not responsible for the availability, performance or acts of third-party services.

8. Monitoring and enforcement

We do not routinely monitor the content of customer communications. We do monitor system activity, usage volumes and security events, and we investigate reports of misuse.

Where we reasonably suspect a breach of this policy, we may suspend, restrict or terminate access to any product, remove or disable content, preserve records, or take other reasonable action, in accordance with clause 10 of our Terms and Conditions. Where reasonably practicable we will give notice and an opportunity to remedy first, except where circumstances require immediate action.

We may disclose information to law enforcement, child protection bodies, regulators or other authorities in the circumstances set out in clause 11 of our Terms and Conditions.

9. Reporting a concern

To report misuse, offensive content, a security concern or a suspected breach of this policy, contact support@schoolzine.com or call 1300 795 503.

Where a report concerns the safety of a child, we will act promptly and may notify the relevant school, organisation or authority.

10. Changes to this policy

We may update this policy from time to time. The current version is published at [URL]. Where a change is material we will give notice in accordance with clause 22.2 of our Terms and Conditions.
