Website Terms of Service

Within this document you will find all the information you’ll require to understand the production of a Schoolzine website. It is important to note that the build of your website is a collaboration between your organisation and Schoolzine. That is, both parties are required to meet prerequisites before the project is completed.

The following is a summary of some of the key points within this document:

Payment
Payment amount is as per the amount outlined on the Schoolzine Commencement Form.
Project Commencement
Commencement of the build of your site will not occur until the following conditions are met: Payment for the website has been received by Schoolzine. A completed Authorised Representatives form has been received by Schoolzine. Initial design and branding items (e.g. Images, Logos) and completed Website Pages Document received by Schoolzine.
Content Submission
Schoolzine will set up and populate content and feedback provided by you, from up to 5 rounds of content submission.
Content and amendments will be supplied using the content folder structure.
Content and feedback must be submitted through the Content Submission form supplied to Authorised Representatives of the account.
Pages
Schoolzine will produce up to the number of webpages included in your package. Additional pages will be charged at $88/per page.
Authorised Representatives
All representatives of your organisation who will be supplying content and feedback directly to Schoolzine are required to read this Customer Understandings Document in its entirety and sign the Authorised Representatives form at the end of this document.
The completed Authorised Representatives form is to be returned to Schoolzine before commencement of your project can begin.

Definitions

The following section outlines some of the terminology used throughout this document.

Website Packages: Schoolzine offers website packages which determine the type of website received by your organisation. If you’re unsure of what is supplied within your organisation’s package, you may review all the packages on the Schoolzine website.
Authorised Representative: A individual who is a key stakeholder in the production of the website. Only authorised representatives of an organisation will be able to submit content and changes to the Schoolzine website department.
Design Update: An update to the website that changes the general look to items. Example: Changing the colour of a box from red to blue.
System Updates: An update to the website that changes the functionality of the site. Example: Changing the speed of your slider to change faster.
Template Update: Changes to the look of the site that change the overall aesthetic of the site. Example: Moving the logo from the top left corner of the site to the top right.
Content Changes: Changes to the content that have been supplied by an Authorised Representative of your organisation.

What do both parties agree to do?

You: You have the authority to enter into this contract on behalf of your school or your organisation. You’ll give us everything we need to complete the project as and when and in the format we need. You’ll review our work, provide feedback and approval in a timely manner. Deadlines work two ways, so you’ll also be bound by dates we set together. You also agree to stick to the payment schedule set out at the end of this contract.

Schoolzine: We have the experience and ability to do everything we’ve agreed with you and we’ll do it all in a professional and timely manner. We’ll endeavour to meet every deadline that’s set and on top of that we’ll maintain the confidentiality of everything you give us.

Website Build Commencement

The commencement date of the website design or build will be set when the following conditions have been met:

  • Invoice Paid: The payment for the website build has been received by Schoolzine. The payment is for the full amount of the build plus the website hosting. The annual hosting for the site will commence 60 days from the receipt of commencement form irrespective of the website’s build status.
  • Authorised Representative Form: The Authorised Representatives form has been filled out and returned to the Schoolzine websites department. The form states to Schoolzine agents who can submit content and feedback for the Schoolzine website build.
  • Website Pages document: ‘Website Pages’ document is returned to the Schoolzine websites department. You will receive the Website Pages document within a welcome email when this agreement is returned to Schoolzine.
  • Branding Files: Design and branding files for the website are received by the Schoolzine Websites team. These can include, but isn’t limited to, logos, colours and images.

Website Design & Setup

Each package of the Schoolzine Website product has different inclusions regarding the design and setup. Review the inclusions of your package below.

Hop Website Template:
Selections for template are provided before commencement document is signed. One template is to be selected.
Changing the template to another after initial account setup will be subject to additional fees, which would be quoted at the time of request.
Template Updates:
Template updates quoted upon request at $150.00/per hour.
Design Updates:
Design changes quoted upon request at $88.00/per hour.
System Updates:
System changes quoted upon request at $150.00/per hour.
Content Changes:
Allotment as per your website package. Additional rounds of content submissions or content changes are quoted at $88.00/per hour.
Note: You will be notified for approval of any requests that are subject to template updates, design updates, system update and content changes above the included amount before work commences on them.
Skip Website Template:
Selection for your template is provided through the Template Builder. One Header, Footer and Slider is to be selected.
Changing the template sections to another selection after the initial account setup will be subject to additional fees, which would be quoted at the time of request.
Template Updates:
Template updates quoted upon request at $150.00/per hour.
Design Updates:
Design changes quoted upon request at $88.00/per hour.
System Updates:
System changes quoted upon request at $150.00/per hour.
Content Changes:
Allotment as per your website package. Additional rounds of content submissions or content changes are quoted at $88.00/per hour.
Note: You will be notified for approval of any requests that are subject to template updates, design updates, system update and content changes above the included amount before work commences on them.
Jump Bespoke Home Page Design:
After the creation of the initial home design, three rounds of design changes and feedback are included in the package price. Further changes after quoted upon at $88.00/per hour
Template Updates:
Template updates outside those agreed upon from the home page design, quoted upon request at $150.00/per hour
Design Updates:
Design updates outside those from the home page design quoted upon request at $88.00/per hour
System Updates:
System updates outside those agreed upon from the home page design, quoted upon request at $150.00/per hour
Content Changes:
Allotment as per your website package. Additional rounds of content submissions or content changes are quoted at $88.00/per hour.

Bespoke Bespoke Website:
After initial allotment of designs set out in bespoke website contract, three rounds of changes and feedback are included in the package price. Further changes after quoted upon at $88.00/per hour
Template Updates:
Template updates outside those agreed upon from the bespoke website designs, quoted upon request at $150.00/per hour
Design Updates:
Design updates outside those from the bespoke website designs quoted upon request at $88.00/per hour
System Updates:
System updates outside those agreed upon from the bespoke website designs, quoted upon request at $150.00/per hour
Content Changes:
Allotment as per your website package. Additional rounds of content submissions or content changes are quoted at $88.00/hour.
Note: You will be notified for approval of any requests that are subject to template updates, design updates, system update and content changes above the included amount before work commences on them.

Other custom work

Custom development work for your site to create new functionality not included within the Schoolzine Plus platform will be quoted upon request. This custom work will be considered a separate project from your website build, thus, any timeframes outlined are treated separate from the completion of the website.

Authorised Representatives

When presented with the task of designing or building a website, many people throughout your organisation will want to have input with the site. It’s important that all those requests are filtered to a couple of people before reaching Schoolzine.

Before commencement on the website, Schoolzine needs to be notified of those within your organisation who are authorised to make decisions on behalf of the website and submit content. Therefore, as a minimum, we require the following people whose roles fulfil one of those listed below to sign the Authorised Representatives form at the end of this document.

  • The Principal
  • The Business Manager (or equivalent)
  • The person managing the content/website process

All peoples who are supplied on this form are required to have read this document in full in order to understand what is expected of them, and to give them a greater understanding of what is supplied in the package the organisation has purchased.

Maintenance, Training, Support & Updates

Schoolzine will provide unlimited telephone support and training.

Support is defined as assistance when one of the following occurs;

  • A staff member is unsure of how a process or feature works
  • A new staff member requires training
  • A task cannot be completed due to the platform not working as it should.
Maintenance is defined as work carried out by Schoolzine. This is where an Account owner requests Schoolzine to perform updates to their account and does not wish to receive support or training on how do it themselves. Maintenance will be charged at $88/hour.

Website Upgrades

Unless otherwise agreed to in communications with Schoolzine, an upgrade of a website from one template to another template will be considered as a Hop package website in relation to the terms within this Terms of Service document. The exceptions to these terms are:

  • Included Pages: There are no additional pages built by Schoolzine included in the upgrade. Additional pages are charged at $88.00 per page.
  • Rounds of Changes: There are no rounds of changes of content and template included in the upgrade. Any changes requested may be charged starting from $88.00/hour up to $150.00/hour.

Website content & changes

Each package receives ten pages built and formatted by Schoolzine. Extra pages can be purchased as an extra cost to the website build. Additional pages are billed at $88 per page.

Content Submission

Content, feedback and changes for your site must be submitted via the content submission form which Authorised Representatives will be supplied. Any content, changes or feedback sent via email will be returned to the sender with instruction to submit the content via the content submission form and will not enter our website production queue till done so.

Content submissions are to be submitted using the content submission folder structure, which Schoolzine will provide with instructions. If content and amendments aren’t submitted via this content structure, Schoolzine reserves the right to reject your content submission.

Changes or content requested over the phone, or any other method, are still required to be submitted via the content submission form by an authorised representative in order to have them enter our website production queue.

Submissions of content or changes

All packages receive a number of submissions of content or changes, which is stated within your package. When you submit content or changes via the content submission form, this will count as a single round of content submission. After that content or change has been added to your site, you will receive an email with notification with details of where to review the changes and the submission number.

Additional changes and submissions after your allotment as per your package will be charged at a $88.00/per hour (min ½ hour) regardless of the size of the request.

Timeframes

Due to the fluctuations in the number of requests we receive as a company, timeframes set out can be subject to frequent change. Our auto responders therefore display the longest turn-around time for your request type.

System Updates & Template Updates

Please note that system updates and template updates require the work to be built and uploaded within our regularly scheduled system maintenance periods. This may at times affect the turn-around time of these types of requests. You will be notified that the request requires this process and will be informed when the date has been set for when those changes will be uploaded.

Production Turn Around Times

After the submission of design content or website page content, you will receive an email from Schoolzine with an estimation of the timeframe that your next proof will be turned around. These time frames are quoted in response to the current production queue the website team has, and we always endeavour to have the work completed before that time has concluded.

Go Live Timeframes

Any timeframes stated during the sale process are estimations and a guide to the amount of time the site may take. In order to meet those timeframes, you must be responsive to the communication and requests that Schoolzine sends you. Without you, the website will never be completed.

Photographs

You should supply graphic files in an editable, vector digital format. You should supply photographs in a high-resolution digital format. If you’d like us to search for photographs for you, we can provide a separate estimate for that.

You must have consent for use of all images for the website, including consent from parents for the use of children’s images in marketing material. Any misuse or infringement of copyright or children’s images are the liability of your school. We are not held liable to you or any third party for damages, including lost profits, lost savings or other incidental, consequential or special damages as a result of image use on your website.

HTML, CSS and JavaScript

Our websites are developed from HTML5 Mark-up, CSS2.1 + 3 Style sheets for styling and unobtrusive JavaScript for feature detection, poly-fills and behaviours.

Desktop browser testing

We test our websites styles and functionality in current versions of major desktop browsers including:

  1. Google Chrome (Mac and Windows)
  2. Firefox (Mac and Windows)
  3. Safari (Mac and Windows)
  4. Microsoft Edge (Windows)
Any browser no longer supported by their developer will not be supported by Schoolzine. We won’t test in other desktop browsers unless specifically requested. If you need an enhanced design for an older browser that is still supported by their developer, we can provide a separate estimate for that.

Mobile browser testing

Testing popular small-screen devices is essential in ensuring that a person’s experience of a design is appropriate to the capabilities of the device they’re using. We test our work on the following devices:

  • iPhone
  • Android
  • iPad
Testing on alternative devices can be provided as a separate estimate.

SSL certificate

Schoolzine will register an SSL certificate on your behalf. This cost is included in the Annual Service Cost.

CMS browser support

The website CMS (Content Management System) is supported by all HTML 5 enabled browsers. These include Chrome, Firefox and IE10 and above. This means older Internet Explorer Browsers won’t allow you to access the admin console to manage your content.

Search Engine Optimisation (SEO) and Search Engine Marketing

Schoolzine will register your site to Google Search Console and submit the required information such as an XML sitemap and robots.txt files, however Schoolzine isn’t a SEO specialist company. If your search engine ranking matters to your organisation, we highly recommend you employ a specialist SEO and SEM company to help you in this area.

Legal Information

We can’t guarantee that our work will be error free and so we can’t be liable to you or any third party for damages, including lost profits, lost savings or other incidental, consequential or special damages, even if you’ve advised us of them.

If any provision of this contract shall be unlawful, void, or for any reason unenforceable, then that provision shall be deemed severable from this contract and shall not affect the validity and enforceability of any remaining provisions.

Copyrights

First, you guarantee that all elements of text, images or other artwork you provide are either owned by your good selves, or that you have permission to use them.
You own all elements of text, images and data you provide, unless someone else owns them. The website code is built to run on the Schoolzine CMS. Your Annual

Your Annual Service fee covers the license to use our system, which is not transferable. As the website is built to work on our servers, moving to another provider may render some pages unusable.

We love to show off our work and share what we’ve learned with other people, so we reserve the right to display and link to your project as part of our portfolio and to write about it on websites, in magazine articles and in books unless specifically advised not to.

Website Costs & Payment

As per the amount outlined on the Schoolzine Commencement Form. Payment terms are 14 days unless agreed otherwise.

But where’s all the horrible small print?

Just like a parking ticket, you can’t transfer this contract to anyone else without our permission. This contract stays in place and need not be renewed. If for some reason one part of this contract becomes invalid or unenforceable, the remaining parts of it remain in place.

All pricing within this document is subject to review and Schoolzine reserves the right to change these prices at any time.
